Chiropractic and Beyond, Kiba is a small chiropractic office where the practitioner handles everything from examinations to treatments. Due to the nature of our practice, the number of patients I can accommodate in a day is limited. When you make an appointment, that time is committed exclusively to you, and we may have turned away other potential clients for that time slot. I appreciate the cooperation of most of the patients, and I sincerely thank you for it. However, due to repeated no-shows, same-day cancellations, and changes to appointments, both the provider and other clients may face inconvenience. Therefore, at Chiropractic & Beyond, Kiba, I have implemented the following cancellation policy:

Please inform us as soon as possible if you need to make any changes to your appointment, if you will be late, or if you need to cancel.”

Being late for appointments

If you are running late for your appointment, please inform me via line or phone call. If you are more than 15 minutes late, I may consider it a cancellation, and the full amount of the appointment fee will be charged. Please note that if you are late, the treatment time may be shortened, and the originally planned treatment may need to be modified.

Cancellations

If you cancel right up to the appointment time or cancel without notice, we may be unable to fill that time slot with another patient, causing inconvenience to both the patient and our clinic. Therefore, the following fees will apply for same-day cancellations, and I appreciate your understanding:

Appointment Changes

🔸Please contact us by 5:00 PM the day before your appointment

🔸Changes to after 5:00PM or a different day on the day of the appointment :100% of the appointment course fee

🔸On the day of your appointment, any changes to another time on the same day : Free of charge (If available)

🔸Changes to a different day on the day of the appointment :100% of the appointment course fee

Appointment Cancellations

🔸Same-day cancellations: 100% of the appointment course fee

In the case of no-shows or if you contact me after the appointment time has passed, the full amount of the appointment fee will be charged.

Exceptions where cancellation fees will not be charged (please contact me before the appointment time):

  • In case of sudden illness or fever on the day of the appointment, please prioritize rest and inform me as soon as possible.
  • In the event of transportation issues due to disasters (snow, typhoon) or unforeseen circumstances.
  • However, contacting us after the scheduled time will result in a 100% cancellation fee, regardless of the reason.

※ If there are two consecutive no-shows, I may refuse future appointment. Similarly, repeated changes on the day before may result in the same. In some cases, I may only be able to accommodate same-day appointments. Thank you for your understanding.

It is probably easy to imagine for those who have experienced sudden conditions like acute back pain or neck strain/sprain, early cancellations or changes in appointments allow other patients to receive treatment during that time slot. We ask for your cooperation in maintaining a respectful and considerate environment for both the clinic and other clients. Thank you.
